Invitation Policy

All invitations to attend The Quebec City Conference are personalized, non transferable and valid for one person only.

Registration

  • Registration process via extranet

  • Each email invitation to a guest contains a confidential “password” which gives access to the Conference's Extranet Registration Form. Please never divulge your password as it allows access to your personal registration file.  

    The entire registration process is made via the Conference's Extranet Registration Form, including access to the Conference, reservation of a room at the Fairmont Le Château Frontenac Hotel at preferred rates, reservation of a seat on a chartered flight from Boston or New York and payment (see details below).

  • Subsequent modification of reservation

  • Subject to Cancellation policy, guests may at all times modify or cancel any reservation made via the Conference's Extranet Registration Form (using password), including registration to the Conference, seat on the QCC chartered aircrafts and room at the Fairmont Le Château Frontenac Hotel. Confirmation and new invoice or credit note are sent to each guest by email and copy is then available on the Conference's Extranet Registration Form (using password). In case of a necessary refund and according to the Cancellation policy, the transaction will be made on guest's credit card at the end of November 2010. Each transaction will bring forth a 5% administrative fee that will be deducted from the amount to be refunded. No paper confirmation is sent to guests.

    Guests may also modify, at all times, personal information and information about firm, to appear on Conference's website and in Participant's Guide (“Summary about the firm”, “Short Curriculum Vitae”, photograph, etc.).

  • Sections entitled “Summary about the firm” and “Short Curriculum Vitae” in Conference's Extranet Registration Form will appear along with guest's photograph on Conference's website and in Participant's Guide.

  • Registration fees

  • Registration fee is $1200 CAD. Perform currency exchange calculations.

Chartered aircraft from Boston and New York (direct flights for exclusive use of QCC guests)

  • Aircraft

  • Guests have the option to use two chartered aircrafts available for the exclusive use of our guests from, or transiting via, Boston and New York. Both are direct flights to the event and back. The duration of each flight is approximately 1h15.

  • Flight schedule, gate location, parking at Logan and Newark airports, etc.

  • Airfare

  • Airfare is set on current commercial rates. Airfare includes ground transportation in Quebec City, from airport to hotel and hotel to airport.

  • Reservation and payment

  • Reservation and payment are done by completing the Conference's Extranet Registration Form (using password) and marking the appropriate box. Please note that you will be asked to provide your passport information. If you are transiting via the United States upon your return, your visa information will also be requested. A limited number of seats are available.

  • Reservation confirmation and invoice

  • Reservation confirmation and invoice are sent to each passenger by email. Copies of your reservation confirmation and invoice are also available by accessing the Conference's Extranet Registration Form (using password). No paper confirmation is sent to passengers.

  • Reservation cancellation or modification

  • Subject to Cancellation policy, guests may at all times modify or cancel their seat on the charters by accessing the Conference's Extranet Registration Form (using password). New invoice or credit note is sent to each guest by email and a copy is available on the Conference's Extranet Registration Form (using password). In case of a necessary refund and according to the Cancellation policy, the transaction will be made on guest's credit card at the end of November 2010. Each transaction will bring forth a 5% administrative fee that will be deducted from the amount to be refunded. No paper confirmation is sent to guests.

  • Ground transportation in Quebec City

  • Ground transportation in Quebec City, from airport to hotel and hotel to airport is provided by the Conference. Hostesses will welcome guests at Quebec City airport. Price for ground transportation is comprised in airfare.

  • Meal & snack served on board

  • Details will be available soon.

  • All passengers must provide Passport information upon booking on the Website and must have their passport with them at the airport. In addition, travelers from outside the US and Canada must also provide their Visa information as it is required in order to re-enter the United States from all non US and non Canadian citizens, in addition to a valid passport.

Accommodations at the Fairmont Le Château Frontenac Hotel

  • Preferred rates (do not reserve directly)

  • The Conference has negotiated preferred rates at the Fairmont Le Château Frontenac Hotel for its guests. In order to benefit from preferred rates do not make reservations directly at the Fairmont Le Château Frontenac Hotel. Reservation and payment is to be done through your personalized extranet registration form (see details below). A limited number of rooms are available at preferred rates, so please reserve soon.

  • Preferred rates also available for extended stay

  • Preferred rates are also available for guests who wish to extend their stay in Quebec City.

  • Reservation process and payment

  • Subject to Cancellation policy, guests may, at all times, modify or cancel room reservation by accessing the Conference's Extranet Registration Form (using password) and marking appropriate box. New invoice or credit note is sent to each guest by email and a copy is then available on the Conference's Extranet Registration Form (using password). In case of a necessary refund and according to the Cancellation policy, the transaction will be made on guest's credit card at the end of November 2010. Each transaction will bring forth a 5% administrative fee wich will be deducted from the amount to be reimbursed. No paper confirmation is sent to guests.

  • Subject to Cancellation policy, guests may, at all times, modify or cancel any reservation made via the Conference's Extranet Registration Form (using password), including registration to the Conference, seat on a chartered aircraft and room at the Fairmont Le Château Frontenac Hotel. Confirmation, new invoice or credit note is then sent by email and a copy is then available on the Conference's Extranet Registration Form (using password). In case of a necessary refund and according to the Cancellation policy, the transaction will be made on guest's credit card before the end of November 2010. Each transaction will bring forth a 5% administrative fee that will be deducted from the amount to be refunded. No paper confirmation is sent to guests.

    Guests may also modify, at all times, personal information and information about firm to appear on Conference's website and in Participant's Guide (“Summary about the firm”, “Short curriculum vitae”, photograph, etc.).

Applicable taxes

  • All listed prices do not include applicable taxes. A 5% Federal tax and 7.5% Provincial tax will be added to your invoice. Conference's tax numbers are: 847 605 540 (GST) and 12 0746 1586 TQ0001 (QST).

Cancellation Policy

  • Registration cancellations received before September 25, 2010 will be issued a refund, less a 5% administrative fee. Refunds relating to travel arrangements will be issued until October 2, 2010. Refunds relating to lodging accommodations will be issued until October 15, 2010. Please note that cancellations received past the dates mentioned above will not be accepted for refund. All permitted refunds will be processed before November 30, 2010. The transaction will be made on guest's credit card within 30 days after the event. Each transaction will bring forth a 5% administrative fee that will be deducted from the amount to be refunded.

Weather in Quebec City in October

  • Normal temperature in Quebec City in October varies between 5 °C and 10 °C (between 40 °F and 50 °F).

    However, it is not unusual that temperature rises up to 21 °C and more (70 °F) in famous Indian summer (more info »).
